How we handle your data

Last updated in November 2026. This policy explains which personal data BDS Productions BV processes, why, and what rights you have.

1. Controller

BDS Productions BV, Stoktsestraat 34, 2300 Turnhout, Belgium. Company number BE 1042.712.584, Register of Legal Entities Antwerp, Turnhout division. You can reach us at info@bdsproductions.be or +32 486 133 984.

BDS Productions BV is the controller within the meaning of the General Data Protection Regulation (Regulation (EU) 2016/679, hereafter "GDPR") and the Belgian Act of 30 July 2018 on the protection of natural persons with regard to the processing of personal data.

2. Which data we process and why

2.1 Contact form, email and phone

When you fill in the contact form, email or call us, we process the data you give us: your first name, the name of your company, your email address, your phone number if you provide it, the subject you want to work on and the content of your message.

  • Purpose: answering your question, scheduling a strategy call and preparing a proposal.
  • Legal basis: pre-contractual measures at your request (Art. 6(1)(b) GDPR) and our legitimate interest in responding to enquiries (Art. 6(1)(f) GDPR).
  • Retention period: no more than 24 months after our last contact, unless an agreement is concluded.

2.2 Clients and suppliers

When we work together, we process contact and billing details (name, address, company number, bank details and correspondence) to perform the agreement and to meet our accounting and tax obligations.

  • Legal basis: performance of the agreement (Art. 6(1)(b) GDPR) and legal obligation (Art. 6(1)(c) GDPR).
  • Retention period: the statutory retention period for accounting records, in principle ten years after the end of the financial year.

2.3 Video and audio recordings

During assignments we make video and photo recordings in which people may be recognisable. For targeted footage, such as interviews, testimonials and portraits, we ask for consent in advance (Art. 6(1)(a) GDPR and image rights). For general footage at events, the client informs those present in advance. If you do not want to be recognisable on camera, let us know on site or contact us afterwards.

2.4 Visiting the website

Our hosting partner processes technical data, such as IP address and browser type, in server logs to keep the website secure and available (Art. 6(1)(f) GDPR). We load fonts from our own server, without connecting to external providers. Your cookie choice, and your language choice if you choose a language yourself, are stored in your own browser, so we do not have to ask you again on every visit.

2.5 Statistics and advertising measurement

Only if you give your consent through the cookie banner do we use Google Analytics (via Google Tag Manager) to see how visitors use the site, and Meta Pixel to measure whether our ads on Facebook and Instagram work. Without consent, those services do not load.

  • What we measure: which pages you view, how far you scroll, which buttons and links you click and whether you send the contact form. What you enter in the form, such as your name, email address, phone number or message, is never passed on to Google or Meta. Only the chosen subject is included.
  • Legal basis: your consent (Art. 6(1)(a) GDPR). You can withdraw or change it at any time via Cookie settings at the bottom of every page.
  • Retention period: as stated in the cookie policy, which also lists the cookies each service uses.
  • Google and Meta may also process data outside the European Union, under the terms of those services.

2.6 Embedded videos

We load videos from YouTube or Vimeo via youtube-nocookie.com or player.vimeo.com. As soon as a player loads, the terms of that platform apply.

3. Who we share data with

We never sell your data. We only share it with service providers who help us deliver the website and our services and who are contractually bound by the GDPR:

  • Website hosting: Vercel Inc. (US), with appropriate safeguards such as the standard contractual clauses of the European Commission.
  • Processing of the contact form: Formspree Inc. (US), with appropriate safeguards.
  • Website statistics and advertising measurement, only after your consent: Google (Google Analytics and Google Tag Manager) and Meta (Meta Pixel).
  • Email, accounting and storage of footage: our IT and accounting partners, only to the extent necessary.
  • Public authorities, when we are legally required to do so.

4. Security

We take appropriate technical and organisational measures: encrypted connections (HTTPS), access restrictions, strong passwords and regular backups. Footage is kept on secure storage and only shared with the client.

5. Your rights

You have the right to access, rectify, erase and restrict the processing of your data, the right to data portability, the right to object to processing based on legitimate interest and the right to withdraw consent at any time. Send your request to info@bdsproductions.be; we respond within one month. To verify your identity, we may ask for additional proof.

If you are not satisfied with the way we handle your data, you can lodge a complaint with the Belgian Data Protection Authority, Rue de la Presse 35, 1000 Brussels, dataprotectionauthority.be.

6. Changes

We may change this policy when new legislation or new services require it. The most recent version is always on this page, with the date of the last change at the top.
